The
AXIOM tool includes the booking process from start to finish, including
air, hotel and car rental. It includes the
ability to direct bill air travel to a Cornell account number. (Hotel
and car expenses cannot be direct billed.)
If
you used the previous online tool, you should have received email
on May 28, 2008 with instructions for accessing the account information
that converted over into AXIOM.
If you are a new user, select "New
Users" above. You will
need a Cornell NetID, and can then link into the online registration
process.
Setting up your profile: You will be asked to supply
a 7 – 10 digit
profile pin number that will act as a unique identifier. We suggest
using a telephone number as it is easy to remember. Additional information,
including your business address, will also be requested.
Even if you
plan to arrange air travel by telephone, please create an account
and profile in AXIOM so that all your preferences can be utilized
by the agents assisting you by phone.

Direct Billing Air Travel: Summary
of New Process:
- You
will need to know the first 3-digits or 7-digits of your account
code and provide these when making a reservation. This
is the way your reservation will be linked to the appropriate person
who will finalize the accounting process so that your tickets can
be issued promptly.
- There is a software product separate from AXIOM
(called Pre-Trip Accounting, or PTA), that will send email to your
department's designated account administrator alerting them that
there is a trip requisition to complete. You will receive
a copy of this email.
- The account administrator will link from
the email to a web site where they will enter the complete account
code for your airfare.
- The trip will be confirmed and an
electronic ticket will be issued. You
will receive an email advising you of such.
Important: If
you don't receive email indicating your ticket was issued, there
may have been a gap in the database linking your reservation to
the appropriate account administrators at Cornell. You
will need to contact your Business Service Center for assistance.
Note: American
Express's Pre-Trip Accounting emails use language about "authorizers" and "approvals," but
at Cornell this process is used just to complete the accounting
information, not to approve the travel.
Guest booking:
To arrange travel for guests, a travel arranger will need to build a profile in Axiom for him/herself. Once that profile is finished, build a reservation on the arranger's own profile until you get to the "Purchase trip" page. On the Purchase trip page the travel arranger then fills out the following sections:
- Name your trip: recommend using the date and purpose of the trip (March 09 - ABC lecture)
- Traveler information: MUST change name to the guest (John Doe)
- Special requests: as needed
- Memberships: if the guest has a frequent flyer number
- Notifications: it is recommended that the arranger at minimum receive a trip itinerary; the traveler should receive an itinerary and flight status
- Billing: select Cornell Dept Charge, unless using a credit card
- Emergency contact: if the guest has provided
- Cornell Trip information: if using a Dept Account enter the first 3-7 digits of the account; if using a credit card enter three(3) zeros (000).
Arrangements for Weill Cornell Medical College Travel
The Weill Cornell Medical College may use the Cornell AXIOM travel website, however Cornell central billing is unavailable at this time. Travelers from the Weill Medical College must use an appropriate credit card to charge all travel related expenses.
